Questions NZ operators ask about DayRunner
Straight answers on what DayRunner does, how it fits with your booking system, setup, pricing and your data.
About DayRunner
What is DayRunner?
DayRunner is day-of operations software for New Zealand tour, shuttle and campervan operators with 3 to 20 vehicles. It takes tomorrow's bookings from your booking system and works out who's driving, which vehicle, the pickup times, the guest messages, the supplier reconfirmations and the driver briefs. You approve it. Nothing sends without you.
What is day-of operations software?
Day-of operations software handles the work between the booking and the trip itself: allocating drivers and vehicles, sequencing pickups, messaging guests, reconfirming suppliers and briefing drivers. Booking systems like Rezdy and FareHarbor sell the seats. Day-of operations software plans how those guests actually get picked up and looked after tomorrow.
Who is DayRunner for?
Owners and operations managers at NZ tour, shuttle and campervan rental businesses running 3 to 20 vehicles. Usually the person who sits down at 5pm to sort out tomorrow.
My booking system already does allocation. Why would I need this?
Most booking systems fill the first vehicle until it's full, then the next. They don't know Sam's on a long day, Jess only has a class 1 licence, or the trailer's with the other van. DayRunner sits on top of your booking system and plans around those things. Keep using your booking system for bookings.
Does DayRunner replace Rezdy, FareHarbor or Rental Car Manager?
No. It reads tomorrow's bookings from them and does the planning after the sale. Your booking system stays where it is.
How it works
How do NZ tour operators plan tomorrow's drivers?
In most small operators it's done by hand each evening. Someone exports tomorrow's manifest from the booking system, matches drivers and vans in a spreadsheet or on a whiteboard, checks licences and hours from memory, texts guests their pickup times, emails suppliers to reconfirm, and posts briefs in a WhatsApp group. We estimate that takes 2 hours 20 minutes to 3 hours 20 minutes a day. DayRunner does the planning from your bookings and leaves you to review and approve, which we estimate takes about 15 minutes. Both numbers are estimates until our pilots measure them.
Will it message my guests without asking?
No. Every message is a draft until you approve it. You can edit or hold any one.
What happens when a driver calls in sick?
Tap Report a problem, then Driver off sick, and pick the driver. DayRunner shows every run that breaks and the two best fixes within a couple of seconds. Nothing changes until you apply one. Guest messages that need to change come back as drafts for you to approve.
Does it check driver work time rules?
Yes. It counts each driver's work time for the day, including the pickup run, and flags anyone the plan would put over their limit under the Land Transport Rule: Work Time and Logbooks 2007, or over the maximum hours you set. It tells you which rule and gives you options.
How are supplier reconfirmations sent?
From your own Gmail, so suppliers see your address and reply to you as usual. DayRunner drafts each one with the numbers and dietary notes for the day, and matches the replies when they come back.
What if we're not on Rezdy, FareHarbor or Rental Car Manager?
Use a CSV export from your system, or a spreadsheet. Bókun, Checkfront and Peek on request.
Setup, pricing and support
How long does setup take?
For you, about an hour. Send us your fleet list and last week's bookings and we do the rest. Tomorrow is planned within 24 hours.
How much does DayRunner cost?
From NZ$349 a month plus GST for up to 5 vehicles, NZ$549 for 6 to 12, and NZ$799 for 13 to 20 vehicles or charter. Setup is included and you can cancel any time. Our first five founding partners pay NZ$249, NZ$399 or NZ$599 a month, locked for 12 months, and pay nothing if they cancel within the first 30 days. See pricing.
Is my data safe?
Your data is hosted in Sydney (AWS ap-southeast-2, via Supabase). It's encrypted in transit and at rest, and each operator's data is kept separate from everyone else's. You can ask us to export or delete it at any time. We only use it to run your day, and we don't sell or share it. More in our privacy policy.
Who do I call if something breaks?
Us. We're a small NZ team. Email support@dayrunner.co.nz and you'll get one of the people who built it.
Got a question we haven't answered?
Book 15 minutes and ask us. We'll show you tomorrow in DayRunner while we're at it.
