For NZ tour operators

Tomorrow's tours planned by 5pm. Guides, vans, pickups and lunch stops.

You run day tours on Rezdy or FareHarbor with 3 to 20 vehicles. Every evening someone works out tomorrow by hand. DayRunner does that part, and you approve it.

The 5pm job

Every evening, someone sits down with tomorrow's bookings and works it out:

  • Matching driver-guides to tours by licence, hours and who knows the route
  • Pickup times for every hotel and backpackers, in the right order
  • Messaging 25 guests their pickup time, one at a time
  • Reconfirming the lunch stop, the cruise manifest, the tasting
  • Briefing each driver in the WhatsApp group

In most small operators that's the owner or the ops manager, after a full day. We estimate it takes 2 hours 20 minutes to 3 hours 20 minutes a day by hand.

What DayRunner does

  • Reads tomorrow's tours and bookings from Rezdy or FareHarbor
  • Puts a driver-guide and vehicle on every departure, checking licence class, seats and work time
  • Sequences pickups in your stop order with times
  • Drafts guest pickup messages in your voice, by WhatsApp, SMS or email
  • Drafts supplier reconfirmations from your Gmail with numbers and dietary notes, and matches the replies
  • Shows what breaks and the best fix when a guide calls in sick

Nothing sends until you approve it.

How it works

  1. Pull tomorrow

Your bookings come in from Rezdy, FareHarbor or Rental Car Manager. No integration? Drop in a CSV.

  2. Plan the day

DayRunner puts drivers and vans on each run. It checks licence class, seats, hours and who's available. Pickups go in your stop order.

  3. Show what needs you

Only the problems. Each one comes with options. Pick one and move on.

  4. Approve and send

Guest pickup messages in your voice. Supplier reconfirmations from your own Gmail. Driver briefs. Read them, fix what you like, approve.

Quick answers

How do NZ tour operators plan tomorrow's drivers?

In most small operators it's done by hand each evening. Someone exports tomorrow's manifest from the booking system, matches drivers and vans in a spreadsheet or on a whiteboard, checks licences and hours from memory, texts guests their pickup times, emails suppliers to reconfirm, and posts briefs in a WhatsApp group. We estimate that takes 2 hours 20 minutes to 3 hours 20 minutes a day. DayRunner does the planning from your bookings and leaves you to review and approve, which we estimate takes about 15 minutes. Both numbers are estimates until our pilots measure them.

How are supplier reconfirmations sent?

From your own Gmail, so suppliers see your address and reply to you as usual. DayRunner drafts each one with the numbers and dietary notes for the day, and matches the replies when they come back.
