The 5pm job
Every evening, someone sits down with tomorrow's bookings and works it out:
- Matching driver-guides to tours by licence, hours and who knows the route
- Pickup times for every hotel and backpackers, in the right order
- Messaging 25 guests their pickup time, one at a time
- Reconfirming the lunch stop, the cruise manifest, the tasting
- Briefing each driver in the WhatsApp group
In most small operators that's the owner or the ops manager, after a full day. We estimate it takes 2 hours 20 minutes to 3 hours 20 minutes a day by hand.
What DayRunner does
- Reads tomorrow's tours and bookings from Rezdy or FareHarbor, or a CSV (integrations)
- Puts a driver-guide and vehicle on every departure, checking licence class, seats, skills and work time (plan the day)
- Sequences pickups in your stop order with times
- Drafts guest pickup messages for you to approve (guest messages)
- Drafts supplier reconfirmations with numbers and notes, and tracks who's confirmed (supplier reconfirmations)
- Shows what breaks and the best fix when a guide calls in sick (driver off sick)
Nothing sends until you approve it.
How it works

Only the problems, each with options. Pick one and move on.
Approve and send
Guest messages, supplier reconfirmations and driver briefs. Read them, fix what you like, approve.
We set it up. You don't.
Send us your fleet list and last week's bookings. We'll have tomorrow planned within 24 hours. One call to check it's right, then a direct line to us while you get going. All up it's about an hour of your time.
Questions
How do NZ tour operators plan tomorrow's drivers?
In most small operators it's done by hand each evening: export the manifest, match drivers and vans in a sheet, check licences and hours, text guests and email suppliers. We estimate that takes 2 hours 20 minutes to 3 hours 20 minutes a day. With DayRunner you review and approve, which we estimate takes about 15 minutes. Both are estimates until our pilots measure them.
Does DayRunner replace Rezdy or FareHarbor?
No. It reads tomorrow's bookings from them and does the planning after the sale.
