How to do things in DayRunner, one task per page.

  • Getting started with DayRunner

Create a workspace, work through the six-step checklist and plan your first day. Or send us your lists and we set it up for you.

  • How the plan is made

What happens when you press Plan the day: vehicles, drivers, pickups, work time and messages. Plus the rules you can change and how to lock a run.

  • Connect Rezdy

Save your Rezdy API key, register the webhook and pull tomorrow's bookings into DayRunner. Owners only.

  • Connect FareHarbor

Save your FareHarbor shortname, get your webhook URL and ask FareHarbor to register it. New and changed bookings then arrive on their own.

  • Connect Rental Car Manager (RCM)

For campervan and rental operators. Each RCM reservation becomes a handover or return on the Day page. We set RCM up with you.

  • Import bookings from a CSV, Excel file or itinerary

No connector? Drop in tomorrow's bookings as CSV or Excel, check every row before it goes in, or paste a multi-day itinerary.

  • Import vehicles, drivers and products (with templates)

Bring your fleet, drivers and tours in from a spreadsheet once. Download a template, map the columns and fix any rows flagged as problems.

  • Set up vehicles, drivers, licence classes and skills

What each column in Setup does: seats, licence class, vehicle features, max hours, skills, on-call casuals, availability and pickup stop order.

  • Work time rules (driver hours)

How DayRunner checks each plan against NZ work time rules: the 5.5-hour break, 13-hour day, 10-hour rest and 70-hour period.

  • Multi-day tours and charter mode

Run multi-day tours with day sheets for the guide, and use charter mode to request a coach and driver from a coach company.

  • Exceptions: Decide before the day

What each item on the Decide before the day list means, the usual fix, and how to close it off. Plus what the Allocation tags mean.

  • Guest messages and approvals

How DayRunner drafts each guest's pickup message, what the statuses mean, and how to approve, hold, edit, change a pickup time and send.

  • Supplier reconfirmations

Add your cafes, cruises and activities as suppliers. DayRunner drafts each day-before reconfirmation with the numbers and tracks who has confirmed.

  • Run sheets and driver briefs

What drivers see on the run sheet, how to draft and approve the evening-before driver briefs, day sheets for multi-day tours, and logging no-shows.

  • Report a problem: driver off sick or vehicle off the road

A driver rings in sick or a van breaks down. DayRunner shows what it touches and the best fixes in seconds, before anything changes.

  • Invite your team and set roles

Invite coordinators and drivers to DayRunner, what each role can do, and how to sign in with a password or a magic link.

  • Your data and privacy

What DayRunner holds, where it's stored, who can see it, how keys are kept, and how to get your data out or deleted.

  • Troubleshooting

Fixes for common problems with signing in, planning, messages, connectors and imports in DayRunner.

  • DayRunner FAQ

Quick answers on booking systems, approvals, messaging, setup, work time rules, drivers, multi-day tours, pricing and getting help.
