How the plan is made

What happens when you press Plan the day: vehicles, drivers, pickups, work time and messages. Plus the rules you can change and how to lock a run.

Press Plan the day on the Day page. DayRunner puts a vehicle and driver on every departure, builds the pickup run, checks work time and drafts the messages. Anything it can't solve goes on one list for you. Nothing is sent.

The Day page opens on tomorrow. Pick another date with the date box. The button is greyed out until the date has departures.

What DayRunner does

For each departure, earliest first:

  1. Vehicle. The best fit with enough seats and any features the product needs. It isn't out and isn't already on another run then. A big group can be split across two vehicles.
  2. Driver. Someone available for the whole shift, with the right licence class and a P endorsement, inside the work time rules and your own max hours. Drivers with the product's skills come first. Casuals are left out.
  3. Pickup run. Guests are picked up in your Pickup stop order, 5 minutes apart, finishing at the pickup lead time before departure.
  4. Work time and km. Prep at each end, the pickup run and the tour itself all count. 30-minute breaks go in where the rules need them.
  5. Messages. One pickup message per booking, plus supplier confirmations for any supplier linked to the product.
  6. Decisions. Anything it couldn't solve, or that breaks a rule, goes under Decide before the day.

You'll see a line like "Planned: 4 departures, 19 guests, 19 messages drafted, 6 decisions needed." Nothing has been sent.

Rules you can change

In Setup, under Rules (owners only), then Save rules. They apply the next time you plan.

  • Pickup lead (min): used when a product doesn't set its own.
  • Prep time (min): vehicle check before the first pickup and tidy-up after. Counts as work time.
  • Km per pickup stop: added to the product's route km.
  • Work-time rules: NZ logbook rules (most operators) or None: outside logbook scope. See Work time rules.

Tell it what you know

Type anything that affects the day into External alerts for the day (weather, road closures, supplier changes) before you plan. For example: "MetService heavy rain warning Fiordland from 04:00." It goes on the decisions list, and the first sentence goes into guest messages. Keep it short and factual.

Changing an allocation by hand

In the Allocation table, click Change on a row, choose the Vehicle and Driver, then Save. The row shows LOCKED. Re-planning keeps it, and keeps that vehicle and driver free for it. Click Unlock to let the planner choose again.

DayRunner still checks your choice. Too few seats, the wrong licence class or a vehicle that's out shows as a warning.

Re-planning

Press Re-plan the day any time. It keeps:

  • allocations you set by hand,
  • approved messages whose pickup details don't change,
  • messages you held,
  • supplier confirmations already sent or confirmed.

Anything whose details change goes back to draft with a note to check it. Re-draft driver briefs afterwards on the Run sheet.

If bookings change after you've planned, a banner tells you the plan is out of date. Click Re-plan now.

Is it AI?

The plan is worked out by fixed rules, so the same bookings give the same plan. An optional AI step can polish message wording. Every number, time and name comes from your data.
