Multi-day tours and charter mode

Run multi-day tours with day sheets for the guide, and use charter mode to request a coach and driver from a coach company.

A tour is one group across a run of days. Create it on the Tours page or by pasting an itinerary, and the guide gets a day sheet for each day. If you hire a coach and driver rather than run your own fleet, switch to charter mode.

Tours

Click Tours in the sidebar. Each day is a column of stops, with the address, phone, reference and notes for the guide and driver.

  • Start one: fill in the tour name, Start, End and Pax, then click New tour.
  • Or import it: paste the itinerary on Import CSV, under Itinerary, with Create as a tour ticked. That also creates the suppliers and confirmations.

Open a tour to add stops, tick what's included each day, and fill in the group and rooming. The guide sees it as a day sheet on the Run sheet by picking the tour from the list.

Supplier confirmations for every stop with a supplier show on the Day page. Use Whole tour (7 days) to see them all.

Charter mode

For operators who hire a coach and driver from a coach company.

  1. Switch it on

Owners: in Setup, set Operating mode to Charter: request a vehicle and driver from a coach company, then Save.

  2. Add the coach company

In Setup, under Suppliers, with category transport and an email.

  3. Request transport

On the Day page, the Transport panel replaces vehicle allocation. Fill in Vehicle requested, Coach company, From, To and Notes for the coach company, then click Request. You get a draft to copy and send.

  4. Confirm it

When they confirm, fill in Driver name, Driver phone and the price, click Confirmed, then re-plan the day.

Until transport is confirmed, the plan shows "Transport not confirmed" or "No transport requested". Report a problem isn't available in charter mode.

DayRunner sends requests and messages for you, rolling out with pilots. Once that's on for your workspace, Request emails the coach company directly.
